Smart Recruiting: A Multi-Role Workflow Design Study

A structured design and requirements review of a recruitment platform spanning candidates, Talent Acquisition, interviewers, HR, employees, and vendors — from manpower requisition through joining handoff.

Overview

Workflow-centric solution design organizing multi-role journeys, permission boundaries, candidate identity and document handling, status transitions, and offer/joining handoffs. This page describes design and requirements consolidation — not a confirmed production delivery or a personal claim to have built every prototype screen.

Architecture notes

  • Role and permission boundaries across candidates, TA, interviewers, HR, employees, and vendors
  • Lifecycle modeling from requisition and publication through assessment, verification, offer, and joining
  • Requirements-to-prototype traceability as a design artifact
  • Offer and compensation treated as design scope, not a published production claim

Problem

Recruitment platforms span many actors and handoffs. Without explicit role boundaries and lifecycle modeling, requirements fragment across tools, spreadsheets, and inconsistent status transitions.

Constraints

  • • Production completion not established
  • • Mixed historical issue statuses and limited staging evidence
  • • Internal tickets, candidate details, and proprietary screen assets stay private

Solution

Consolidated the journey into a multi-role workflow design study: requisition, publication, sourcing/application, assessment/interview, verification, compensation/offer, and joining handoff — with open gaps and approval-needed decisions left visible.

Results

  • • Reviewed recruitment workflows and consolidated requirements across candidate, Talent Acquisition, interviewer, HR, employee, and vendor journeys.
  • • Made requirement gaps and approval-needed decisions visible rather than implied complete.
  • • Kept design status honest — production completion is not established.

Lessons learned

Model responsibilities and state transitions before translating the workflow into screens.
